Volunteer for Hospitality Coordinator
Job Description

Position Title and Location of Activity:  Hospitality Coordinator
Location of Activity
:  Cambridge
Function
: Responsible for the organization of hospitality for the volunteers and performers on the weekend  of the Mill Race Festival of Traditional Folk Music
Liaison
:  Brad McEwen, Chairperson, Mill Race Folk Society,519-621-7135

Responsibilities:

  • Maintain and update a restaurant database for food coupons

  • Prepare letters for approaching restaurants to participate in our food coupon program, and follow up

  • Create Food Coupon for the performers and volunteer packages

  • Prepare and distribute instruction letter and sample coupon to the participating restaurants

  • Plan and organize food/drinks for the hospitality area

  • Prepare Food Coupon and Hospitality portion of the Annual Report

      Weekend of Event:

  • Set up hospitality area Saturday morning in the Arts Centre

  • Periodically check on the hospitality area for cleanliness
  • End of Saturday clean up, put food away, prepare for Sunday
  • Set up hospitality again on Sunday morning
  • Periodically check on the hospitality area for cleanliness
  • Sunday afternoon, clean up hospitality area

      After the Festival:

  • Collect all coupons from participating restaurants recording the amount and getting signatures
  • Give the list to the treasurer to make cheques out
  • Deliver cheques for coupon refunds to all restaurants having them sign for the cheques received
Time Commitment:

      Monthly Meetings; 1st Wednesday of each month - 2-10 hours per month;

      Mill Race Festival: Friday evening, Saturday and Sunday of Civic Holiday weekend

Qualifications:

       Interest in community events
       Good people skills
       Access to a computer
