As a craft vendor, you are invited to apply to set up an open-air booth and sell hand-crafted art works and fair trade items at the craft village that will be in operation during the Millrace festival. The craft village will be located in downtown Cambridge just west of City Hall.
If you wish to apply as a craft vendor for the 2012 festival:
(1) Check the map on this page, which shows the spaces available as of the date listed in this webpage (see below title).
(2) Send an email to dave.webster2@sympatico.ca, so you can be informed whether there is space available for your products.
(3) If so, fill out the application form below, and put in in the mail it along with a cheque for the registration fee (See below. The mailing address is listed on the application form).
CONDITIONS
Registration fee:
The $60 registration fee entitles you to maintain a sales booth Friday evening through Sunday evening. The fee is to be submitted with your application form and becomes nonrefundable if your application is approved.
Liability insurance:
Vendors who do henna, massage or similar "body contact" work are required to submit a copy of their liability insurance policy along with their application.
What can be sold:
Only hand-crafted goods and services that have been made by you or your company (such as musical instruments, original art works and henna), as well as fair trade items are to be sold.
Respect for your neighbours:
Each vendor is asked to do their part of maintain good relations with neighbouring vendors, Millrace staff and visitors to the festival. Maintaining good relations may consist of anything from not infringing on a neighbour's space to not continuously playing an audio presentation when it is something your neighbours will be obliged to hear.
If a problem arises:
If a problem arises, you may please leave a phone message for the vendors' coordinator, who checks messages on an hourly basis. Phone 519-740-4681, ext 4376 and ask for the Donaldson Room. This connects you with Millrace staff, who will relay your message. If you are having difficulties with a neighbour, the vendors' coordinator pledges to handle your problem diplomatically and in a way that keeps your identify private.
For assistance from security personnel:
Last year's phone number to reach the security service was 740-4680, ext 4330. If this number has changed, you will be informed when you arrive on site. The security guard station is located in the nearby Cambridge City Hall. Personnel will be on duty throughout the festival, so that if there are any problems, you may quickly receive assistance.
Space restriction:
Only one space is available per vendor.
Product restriction:
A maximum of five vendors are permitted to sell the same product line, for instance, jewellery.
A free listing in the Millrace programme:
If you have vendor's information that you would like to list in the programme booklet for the festival, this service is available at no charge. However, there is a publication deadline of May 1. About 1,400 programmes are published and they are on sale throughout the festival.
Site regulations:
The craft village is in a brick-and-concrete area, which is sloping at an average of two and a half degrees.
- The size of your space is 10 feet by 10 feet.
- There is a one-foot space between each booth. This is for rain runoff only and is not to be used to store or display items. There is to be no foot-traffic in this space.
- Tents, tables and chairs are not provided.
- Your booth location is assigned in advance of the festival dates, for your planning convenience. When you arrive on site you will find your location number marked in chalk, with cross marks to indicate the corners of your space.
Wind conditions:
Gusts of wind may cause unavoidable problems in an urban setting such as the Millrace Craft Village. You are required to secure your tent with weights, such as concrete blocks. In addition, please make sure that any free-standing items are well secured. During one past Millrace festival, two tents blew over because they were not adequately anchored. Please create a booth that is as wind-secure as possible.
Electricity:
A single 120-volt electrical receptacle is available for each booth. You are required to bring a three-prong extension cord that is at least 50 feet long and CSA rated for outdoor use.
Time schedules:
In previous years most of the craft vendors have set up their booths at around 6 p.m. on the Friday of the festival. You may remove your booth as of Sunday, 5 p.m, and you are asked to have everything removed by 11 p.m.
- The Cambridge Farmer's Market will be in operation adjacent to your location on Saturday from 6 a.m to 1 p.m, and you may find it helpful for your business to open at 9:30 a.m. (or earlier) for this event. On Sunday, 12:30 p.m. is probably a good time to open.
Parking:
Although parking is not available in the parking lot north of City Hall, nor in the parking lot around the Farmer's Market that is west of the vendors area, vendors are allowed to bring their vehicles close to their booth locations on Friday and on Sunday evening for more convenient loading and unloading of their items. Parking during the festival is available free of charge at the Wellington Street Parking Lot, which is a block east of the craft village.
Washroom facilities:
Washroom facilities are available at the nearby Cambridge City Hall.
Festival events:
The events of festival are all free - we hope you will get to see some of them. The performances will be held on Friday night from 7 p.m. to 10:45 p.m, and on Saturday and Sunday, from 1 p.m. to 10:45 p.m. They will be held at a number of different locations, all within walking distance of your booth.
- If you plan to attend performances, we hope you will help support the festival events - they are all free of charge - by purchasing a programme. The programme provides full information on who is performing, and when and where you may see them.
